Getting annoyed by having to search for a workplace, or not being able to find one at all, other people also looking for a room who suddenly barge in while you are having consultations in ‘your’ reserved room, double bookings - all of these are situations that TU/e hopes to end by means of Book My Space. Very soon this new platform will enable everybody, whether students or employees, to find and reserve rooms. Without the intervention of a secretary or receptionist, for instance, and without all kinds of procedures, methods or systems which at present may still differ per building.
It is also a consequence of the arrival of the Bachelor College and the Graduate School that students and employees increasingly are no more tied to just one building, but are active all across the campus. That is why Book My Space provides insight into the rooms (made available for booking) in all TU/e buildings on the site. In addition, more rooms are becoming available, while individual study places and workplaces can be booked as well.
On their PC (Book My Space is linked to both Outlook and Planon SelfService) students and employees can reserve a room or workplace in advance. Moreover, the platform provides new ways of reservation, for instance via service points at the building receptions - the so-called Kiosks. Also, there is a special app for both Smartphones and tablets, which makes it possible to ‘claim’ rooms on the dot. This can be done by scanning the QR codes that can be found next to the doors of consultation rooms.
On February 1 the system will start with a pilot in Matrix, Vertigo and on the third thru seventh floors of MetaForum. After the summer the system will be introduced in the other TU/e buildings as well on a phased basis.
